What is this task actually worth to automate?

Most calculators multiply hours by a wage and show you a big number, which a CFO discounts on sight because it ignores build cost, upkeep, and that hours saved are not money saved. This one asks for all of it.

This is an estimate built from the numbers you entered, not a quote and not financial advice. It cannot see your actual build, your team, or what breaks in month seven. Treat it as a way to decide whether the conversation is worth having, then get a real scope before anybody commits money.

What is the thing? "Retyping job details into the accounting system" is a good answer.

How long it takes one time, start to finish, including the interruption.

Runs per week, per month or per year. Pick whichever you actually know.

How many people are involved in one run. Two people at ten minutes each is twenty minutes.

Base wage of the people doing it. Not the loaded cost, we do that next.

$

Wage times this number is what an hour of that person actually costs you.

Why 1.3. A person costs more than their wage. Payroll taxes, benefits, equipment, software seats and the share of overhead that exists because they do. One point three is a common working multiplier for a US employee and it is deliberately conservative. If your finance team has the real number, use theirs.

How often it gets done twice because something was wrong the first time.

%

What it costs to build the automation. Guess if you have to. A wrong number here is still better than leaving it out.

$

Licenses, API usage, and somebody fixing it when the other system changes underneath it.

$

This is the question that decides whether the number is real. It is required.

One more answer before we give you a number.

Tell us what those hours would go to instead. Every other calculator in this category stops at hours times rate, which produces a number a CFO discounts on sight. Where the time goes is what turns a soft number into a hard one, so it is required here rather than optional.

Find out what is actually broken before you spend another dollar on AI.

Two weeks, fixed fee, fixed start date. A map of what you run, a ranked list of where AI actually holds with a dollar figure on each, and a fixed price plan to build it. You own the document either way.

Read it. If you do not agree we found at least three things worth fixing, tell us and we refund the fee. You keep the document.

$5,000. TWO WEEKS. THE FEE COMES OFF THE BUILD IF YOU START WITHIN SIXTY DAYS.

WHO THIS IS FOR

A company of roughly ten to two hundred people, already running a CRM or operational system, with revenue coming through it and at least one process held together by hand. That includes agencies, whether the system is for your own operation or for a client's. Pre revenue, or want a chatbot on a marketing site? Wrong firm, and we will say so on the first reply.
